Certified Translations of Polish Civil and Parish Records

Order a certified English translation of one Polish civil or parish record for £185 per record page. We also translate eligible historical records written in Russian or German. The work is arranged with sworn translators entered on the official list maintained by the Polish Minister of Justice for the relevant language.

Records covered by the fixed price

Civil registration

Birth, marriage and death records

A complete civil register entry or certificate showing the names, dates, places, relationships and official annotations on one source page.

Parish registers

Baptism, marriage and burial records

A complete church register entry from a Catholic, Orthodox, Lutheran or other parish record, provided as a clear image of the full entry.

Historical languages

Polish, Russian and German

Records relating to Polish families may be written in Polish, Russian Cyrillic or historical German handwriting because borders and administrations changed.

What “one record page” means

The fixed £185 price covers one civil or parish record entry contained on one side or scanned page. Choose the number of pages in the order form. Two pages cost £370, three pages cost £555, and the total shown on the payment button updates before you continue to Stripe.

A continuation on a reverse side counts as another page. A scan showing several separate register entries is not automatically one order: the fixed price covers the entry you identify. Multi-document files, long certificates, court papers, correspondence, marginal additions requiring separate treatment or records outside the listed categories must be assessed before purchase.

What the £185 service includes

  • An initial check that the supplied image is complete, legible and within the fixed-price scope.
  • Reading the handwriting, abbreviations and printed headings needed to translate the selected entry.
  • A complete English translation of the eligible record, without silently guessing damaged or unreadable wording.
  • The translator’s statement of accuracy, date, name, signature or qualified electronic signature, contact details and relevant credentials.
  • A certified digital translation supplied as a PDF.

If the document is outside the stated scope, cannot be read reliably or requires a different certification route, we will contact you before work begins. You can accept an individual proposal or receive a refund for the unstarted translation.

Polish, historical Russian and historical German records

A Polish ancestor’s record is not necessarily written in Polish. Nineteenth- and early twentieth-century registers may use Russian Cyrillic or German handwriting. Select the language you believe is present; we will confirm it from the complete scan.

Historical script experience matters, but so does the formal authority to certify a translation. We arrange the work through an appropriate sworn translator entered for the relevant language on the Polish Ministry of Justice list of sworn translators. Where the source language and required English certification call for more than one authorised stage, we will check the route before work starts rather than present an informal translation as an official one.

Using the translation in Britain or elsewhere

For UK use, a certified translation commonly needs a statement that it is a true and accurate translation, the date, and the translator’s full name and contact details. The GOV.UK guidance on certifying translations describes these general elements. The United Kingdom does not use exactly the same professional system or terminology as Poland, so the service is described as a certified translation in English and explains the translator’s Polish sworn status separately.

The receiving authority makes the final decision on acceptance. Before ordering, ask it whether it requires a paper original, a particular professional body, notarisation, an apostille, a certified copy of the source or another form of legalisation. A digital certified translation does not include those separate steps.

What is not included

  • Obtaining the source record from a registry office, archive or parish.
  • An apostille, legalisation, notarisation or certification of the source document.
  • A printed translation, international postage or courier delivery.
  • Genealogical research to identify an unknown person, parish or record.
  • Legal advice or a guarantee that a particular authority will accept the document.

If you do not yet have the record, begin with Polish document retrieval. Printed copies and delivery can be quoted after we know the destination and the format required.

How it works

  1. Check the scope and complete the form. Choose the record type, source language and number of pages. Tell us the date and place and where the translation will be used. Order only when you have a complete, clear scan of the record.
  2. Pay securely on Stripe. The form calculates £185 for each record page. You review the total on Stripe before paying.
  3. Send the complete scan. We contact you at the order email with instructions for supplying the full-resolution image, including margins, seals, headings and any reverse side.
  4. Receive the certified PDF. We confirm the document is eligible and the translator prepares the English version. Timing is confirmed after the scan and intended use have been checked.

Frequently asked questions

Is this a sworn translation?

The translation is arranged with a sworn translator entered on the list maintained by the Polish Minister of Justice for the relevant language. For a UK audience, “certified translation” is the clearer term because the UK does not have the same sworn-translator system. Tell us which authority will receive the document so the credentials can be presented appropriately.

Can you translate old Russian Cyrillic or German handwriting?

Yes, when the complete record is legible and falls within the listed civil or parish categories. Historical handwriting, abbreviations and damaged text can require assessment. Uncertain letters remain marked as uncertain rather than being turned into confident-looking names.

Does one register image count as one page?

The price covers the specific entry you identify on one source page. If the entry continues onto another page or reverse side, select an additional page. A register image containing several unrelated entries is not a fixed-price translation of every entry visible on the image.

Is a printed stamped copy included?

No. The fixed price includes a certified digital PDF. If the receiving authority requires a paper original, tell us the destination and deadline so printing and tracked delivery can be quoted separately.

Will every authority accept it?

No provider can make a universal acceptance guarantee. Requirements differ by country, authority and procedure. Obtain the receiving body’s written requirements before ordering and include them with the document.
